Do not rinse the media in tap water, do not squeeze it clean, and do not replace it with a fresh cartridge because it looks dirty. The visible grime is largely the thing you are trying to preserve. Handle sponges and ceramic media gently and keep them wet the whole way through.
Watch out for the heater and the pump. Both should be unplugged and allowed to cool before removal, and both travel dry and padded rather than in a bucket.
Step 4: Catch the fish last and move them in bags or buckets
By the time the net comes out, the tank should be mostly drained, the media should be in its bucket, and the vehicle should be loaded with everything except the fish. Catching is the last thing that happens indoors.
A lower water level makes catching faster and less stressful, which is the main reason it happens in this order. Move slowly, use a net sized for the fish rather than the tank, and if a fish is difficult, lower the water further rather than chasing it around the glass for ten minutes. Fill the transport containers with water taken from the tank itself, so the only thing that changed for the fish is the location.
Keep containers dark, level and undisturbed. A towel over a bucket calms fish considerably, and the footwell of a car is generally steadier and more temperature stable than a truck bed or a trunk. The fish ride with a person, in the passenger vehicle, always. No moving company transports live animals, and no bucket travels loose in a cargo area.
Watch out for combining species that were fine together in a large tank into one small bucket. Crowding changes behaviour, and a peaceful community fish can become a problem in a five gallon volume.
Step 5: Drain the tank and strip out every rock, ornament and stone
Once the fish are in their containers, take the tank down to bare glass. Everything comes out: the remaining water, every ornament, every piece of hardscape, and all of the substrate. This is not about saving weight for convenience. It is about the fact that a tank is only structurally sound when its load is even and it is sitting flat on a supporting surface.
Substrate is the part people try to leave in, usually to preserve the bacteria living in it or to avoid the mess. Do not. Loose gravel in a tilted tank slides to one corner and puts a point load against glass that was never designed for one, and sand does the same thing while also grinding. Bag the substrate into buckets or lined boxes and carry it separately, keeping some of it damp with tank water if you want to preserve part of that colony.
Get the last of the water out with a small container and a towel. A tank that looks empty and still has an inch in the bottom is carrying moving weight, which is worse than static weight because it shifts mid lift.
Watch out for silicone seams while you scrape. Algae scrapers, blades and hard tools against a corner joint can nick the silicone, and a nicked seam fails later rather than immediately.
Step 6: Move the empty tank flat and supported, never on its side
Carry and transport the tank the way it stands: base down, level, and fully supported underneath. Ask a local aquarium shop in the new area what the water there is like, and bring them a sample rather than assuming it matches what you left.
Reinstall the filter with the saved media exactly as it came out, wet, unrinsed, and in the same arrangement. Get the heater running and let the temperature come up gradually to match the containers holding the fish rather than forcing it. Run the filter and check for leaks along every seam for at least an hour before the fish go anywhere near it.
Watch out for rushing this because the fish are waiting. A tank set up in twenty minutes and a tank set up in two hours look identical from the outside and are not.
Step 9: Acclimate the fish and watch the cycle for the next few weeks
Acclimate slowly. Float the sealed bags or containers in the tank so the temperatures equalise, then introduce tank water into the container gradually over a stretch of time rather than tipping the fish straight in. Temperature and chemistry both changed during the trip, and a sudden correction is its own shock on top of the one they already had.
Release the fish into the tank rather than pouring the transport water in with them, because that water has been accumulating waste for hours. Keep the lights off for the first day, resist the urge to feed immediately, and then feed very lightly for the first week. Less food means less ammonia, and less ammonia is exactly what a possibly damaged biological filter needs.
Then watch, for two to four weeks rather than two to four days. Test for ammonia and nitrite with your own kit and treat any reading above zero as a signal to do a partial water change and cut feeding further. Add no new fish, change no equipment, and make no other adjustments during this window. A tank looks perfectly fine on day two and can still be mid disruption on day ten.
Watch out for treating cloudiness as an emergency. A bacterial bloom in the first days is common and usually resolves on its own, while chasing it with chemicals does not help.

A multi day cross country drive with hotel stops, a flight, or a move where the household goods and the people arrive on different days is a different one, and pushing fish through the second because the first worked for someone else is where losses come from. Very heavily stocked tanks, large individual fish, unwell fish, and species that a shop tells you travel badly all shorten the acceptable window further.
Rehoming ahead of the move is not a failure. Local aquarium shops, aquarium societies and hobbyist groups frequently take healthy stock, and a fish that changes homes calmly beats one that endures three days in a bucket. What movers will and will not do with an aquarium
Ask before you book, not on the day. Policies vary between companies and the answer is rarely what people assume, so get it in writing while you still have the option of hiring someone else.
The general shape is consistent. Most household movers will carry an empty, drained and dried tank as fragile freight. Most will not carry water, and effectively none will transport live animals, which are a standard exclusion. Many carriers also limit or exclude liability on owner packed fragile items, and a tank you drained and wrapped yourself is owner packed by definition.
That last point is where the money is. - Moving the tank with water still in it. The most damaging mistake available, and it usually happens as a compromise rather than a decision: leaving a few inches in the bottom because draining fully seemed excessive. What if the tank is not quite level after filling? Do not shim a filled tank. Drain it enough to be safely liftable again, correct the stand, and refill. The temptation to wedge something underneath a loaded tank is exactly the point load the seams cannot take.
